Refunds and cancellations

These terms apply to consulting engagements with PortalForest Coding Consulting (architecture reviews, advisory retainers, design workshops, and assessments). We do not sell physical goods or software licences on this site.
Eligibility
Refunds apply to fees paid under a signed proposal. Website visitors who only submit an enquiry have no fees to refund.
Cooling-off and deposits
Fixed-fee engagements may require a deposit stated in the proposal (typically 30%). If you cancel in writing before discovery work begins, we refund the deposit in full within fourteen days. After discovery starts, the deposit is non-refundable because preparation and document review have begun.
Full refund
A full refund of amounts paid (including deposit) is available if we cancel the engagement for reasons within our control and cannot offer a suitable reschedule within thirty days.
Partial refund
If you cancel after workshops have started, we invoice for work completed (days or milestones delivered) and refund any unused prepaid balance, less the non-refundable deposit where applicable.
Non-refundable items
- Completed workshops and delivered written briefs
- Third-party room hire booked at your request
- Retainer weeks already delivered
Timeframe to request
Refund requests must be emailed to contact@portalforest.click within fourteen days of the cancellation notice or the event giving rise to the claim.
Process and timing
We confirm eligibility within five business days and process approved refunds within fourteen business days to the original payment method unless we agree otherwise in writing.
Cancellation and rescheduling
You may reschedule workshops once without fee if you give at least five business days’ notice. Later changes may incur a rescheduling charge up to 15% of the affected milestone. We may reschedule for illness or access issues and will offer new dates promptly.
No-shows
If client participants fail to attend a booked workshop without notice, that session is marked delivered for billing purposes. A replacement session can be booked at standard rates.
Work already started
Once we have issued interim notes or a draft brief covering material findings, that portion of the fee is earned.
Exceptions
Australian Consumer Law guarantees cannot be excluded. If a guarantee applies, you may be entitled to a remedy beyond this policy. This policy does not cover products or delivery models we do not offer (for example retail merchandise or SaaS subscriptions).
